This Privacy Policy explains how AppWell collects, uses, discloses, and protects information across the AppWell platform and its white-label branded versions (collectively, the “Platform”), which provide wellness technology and digital tools for counsellors, students, and users.

By accessing or using the Platform, you consent to the practices described in this Privacy Policy.

1. Overview & Commitment to Privacy

AppWell Inc. is committed to protecting user information and complying with the Personal Information Protection and Electronic Documents Act (PIPEDA) in Canada.

The Platform is not a medical system and is not designed to store or process personal health information (PHI). AppWell is not a health information custodian under Ontario’s Personal Health Information Protection Act (PHIPA).

AppWell provides wellness tools, learning resources, AI-assisted features, and counsellor-user connection capabilities. AppWell does not provide therapy or clinical services.

2. Information We Collect (Minimal & Purpose-Limited)

We collect only the information necessary to operate the Platform and support user functionality.

Credentials or licence information (optional)

Service categories or areas of focus

C. Basic Technical and Device Data

App interactions

Non-identifying analytics

Crash logs, performance metrics

We Do Not Collect:

Personal health information (PHI)

Clinical notes or session details

Therapy or medical records

Sensitive health data

We Do Not Monitor or Record:

Counselling sessions

Calls, chats, or messages

Communications occurring outside the Platform

3. How We Use Information

AppWell uses collected information to:

Create and manage accounts

Enable counsellor, student, and user profiles

Provide non-clinical AI-assisted wellness features

Operate, maintain, and improve the Platform

Enhance user experience and analyse engagement

Ensure Platform security and reliability

Aggregated or Anonymised Data

We may process data in aggregated or anonymised form to:

Analyse usage patterns

Improve Platform functionality

Support non-identifying wellness research

Generate internal insights

Aggregated data does not identify individuals and is owned by AppWell.

4. AI Technology & Third-Party Services
A. AI Features

The Platform includes AI-assisted tools that provide:

Wellness education

Journaling prompts

Insights and suggestions

General informational content

AI outputs may be inaccurate or incomplete and are not professional, medical, or therapeutic advice.

AppWell does not use AI to diagnose or treat mental health conditions.

B. Third-Party Tools

AppWell may use third-party services for:

Cloud hosting

AI processing

Communication tools (selected by counsellors)

Analytics

Their privacy policies govern their practices.
AppWell is not responsible for third-party data-handling beyond contractual obligations.

5. Data Storage & Security

We implement industry-standard safeguards, including:

Encryption in transit and at rest

Secure data storage

Access controls

Monitoring for suspicious activity

Data may be stored in Canada or processed by trusted service providers in other regions.

No system is completely secure, but we take commercially reasonable measures to protect information.

6. Data Retention & Deletion

We retain information only as long as necessary to:

Operate user accounts

Fulfil Platform functions

Meet legal requirements

Account Deletion Requests

To delete your account, email:

Upon deletion:

Your profile is removed

Personal data is deleted or anonymised

Aggregated data may be retained for analytics and security purposes

7. User Rights (PIPEDA)

You may request:

Access to your personal information

Correction of any inaccurate information

Withdrawal of consent (where applicable)

Account deletion

We respond to privacy requests within a reasonable timeframe.

8. No Sale or Distribution of Personal Information

AppWell does not and will not:

Sell or rent personal information

Distribute personal data for advertising or marketing

Provide data to external parties except service providers acting on our behalf

Limited data may be shared only to support Platform operations.

9. Transfers & Required Disclosures

We may disclose information only when necessary:

To service providers under strict confidentiality

To comply with applicable laws

To enforce our Terms of Use

To protect AppWell, users, or the public

During a merger, acquisition, or corporate restructuring (with safeguards)

10. Children & Minors

Users under the age of 18 must have parental or guardian involvement unless permitted through:

Institutional accounts (e.g., schools)

Written agreements with partnering organisations

We may revise this Privacy Policy as the Platform evolves.
The “Last Updated” date will reflect the most recent version.

Continued use of the Platform after changes indicates acceptance of the updated policy.
